We have been QuoteWerks resellers for a number of years, but have always handled our quoting with a combination of QuickBooks and/or Microsoft Word.  Finally, at the recommendation of our mentors and favorite ACT gurus, we bit the bullet and took a weekend to figure out how to deploy this amazing quoting software.  It was well worth it

QuoteWerks is an extremely capable and robust quoting software…and especially useful if you use a CRM software like ACT! and an accounting system like Quickbooks or Peachtree.  I am attaching one of recent quotes to give you a sense what a final product looks like…just click on the following link to download it:     PREQ1011

It took me all of about 3 minutes to prepare this quote.  QuoteWerks allows you to load your contacts from your CRM system (ACT in this case), then access a pre-defined product library where you simply select predefined products, complete with descriptions, images, etc.  Lastly, you can create and attach any number of digital sell sheets to each quote.  In my case, we create a single page description of our company and my bio and attached that to give clients background.

Once the quote is completed you simply send it to email and it automatically creates a preformatted email with all of the components included in a single PDF attachment.  Then, it gives you the opportunity to create follow up calls, meetings and sales opportunities in your CRM system — all automatically.  Lastly it sends the email out through your Outlook (if you want) and automatically records the proposal to ACT history, with the PDF attached.  Pretty slick.

Once the proposal becomes a sale I have the opportunity to upload the quote as an invoice, sales order or estimate into my Quickbooks (or other accounting system),.

And it doesn’t stop there.  QuoteValet allows you to deliver similar functionality via  a custom HTML web page rather than a PDF.  With QuoteValet your prospects can respond with questions and even click “Buy Now” and submit credit card payments — all from the quote.

The configurator allows you to create a workflow of creating complete packages based on decisions…sort of like a flow chart.  It helps your sales agents build full assemblies based on rules, related parts and much more.  More on the QuoteValet and Configurator later.

As we described in a recent post, Sage has made significant pricing policy changes in recent month, with the most recent being the elimination of the upgrade benefit to those ACT users with a license older than 2010.   What is the upshot?

If you have ACT licenses of any age from 2009 and older and you are happy with the product and are using it regularly you should upgrade before May 31st, 2012.  After that time you will no longer be able to receive upgrade pricing, but will have to pay for new licenses.

This is about 50% more expensive, depending on your license purchase.  Furthermore, if you are a typical “buy and hold” licensee who uses the product a number of years before upgrading, then you should consider a 2 or 3 year upgrade cycle and buying a few extra licenses to allow for growth.  As we previously discussed, there are now pricing incentives that suggest a 3 year upgrade cycle (lack of support after 3 years, full pricing with no discounts after 3 years, etc).
